We’re looking for a superstar creative assets coordinator to help us support the BOXFOX Corporate Sales Team — the B2B side of the business.

You’ll need to have a love of what we offer—elevated gifts for all occasions—and be exited to spreading our services to potential corporate clients looking for beautiful gifts for a variety of reasons. You’ll also be excited to roll up your sleeves and wear a ton of hats, creating opportunities for yourself and learning as you go. The Role

As the Creative Assets Coordinator for the BOXFOX B2B team, your chief responsibility is to support the entire B2B Sales Team by acting as the key resource for the sales team’s creative asset database: from past proposals, to new product launches, to current vendor updates and product substitutions — you are the encyclopedia and the keeper and sharer of knowledge for this team. You will work cross-functionally, acting as a liaison between sales and Production, Merchandising, and Operations as it relates to Creative.

As a Creative Assets Coordinator, you should showcase excellent organizational skills, attention to detail, and excellent follow-through. You should enjoy building databases, processes, and have a knack for structure and systems.

Responsibilities

Gather Knowledge + Offer Solutions

• Analyze past proposals to gain working knowledge of past orders and what AEs have previously sold into clients, to be able to offer recommendations based on theme, price point, vendors, etc.

• Sort through and serve up relevant previous proposals to AEs to create updated proposals with similar “asks”, industries, or themes.

• Create system and pull reports on best-selling products, themes, and curations across sales team for greater transparency and optimization of B2B offerings

• Help problem-solve for Product Substitutions when a new product (substitution) is needed for a client order

• Regularly suggest strategic, systems-based improvements to help us stay organized and efficient

Organize + Update Key Assets

• Create an organizational process for product and proposal asset management, maintain systems and database, and disseminate relevant information to AEs in order to win new business and retain existing client base

• Maintain and update client photography database by client and by theme, for ease of access to Corporate photography for proposals, one-sheets, etc.

• Working alongside Sales Operations team, responsible for managing, organizing, updating, distributing, editing, deleting, curating, archiving and digitally filing past and current digital assets for Sales Team, including: Corporate Directory, BOX file sharing, and Proposal sharing database

Maintain Working Product Knowledge

• Maintain BOFOX B2B internal product catalog database, updating based on pricing and availability, and update with new finds, collaborating with Merchandising team on new product coming in

• Keep your finger on the pulse for the latest product launches and trends from our established vendors as well as new vendors. Organize and present new products to the Sales Team to be used in new proposals.

• Communicate regularly with Operations / Manufacturing team to stay abreast of new BOXFOX manufactured items for corporate clients, and present information to B2B Sales Team on a weekly basis.

The Role 

Your chief responsibility is to support the B2B Sales Team — specifically, your Inbound sales rep— ensuring you are staying on top of the day-to-day tasks and planning ahead, ultimately making sure the BOXFOX team is set up for sales success and maximizing efficiency. You’ll get to wear a lot of different hats: this role is equally divided into admin / maintenance, sales / production process collaboration, reporting, and light client support. 

As a sales coordinator, you should showcase excellent communication skills, attention to detail, and ability to identify and quickly solve problems. You should also act proactively to address your managers’ needs.

Responsibilities 

Administrative 

Schedule calls, manage calendars via Calendly for assigned AE 

Ensure salesperson is following all processes and policies 

Help organize CRM platform to contact info is up-to-date, managing tags and lists 

Keep calendar of key client event dates for strategic outreach 

Ensure all documents / spreadsheet for AE are up-to-date and accessible

Prepare draft invoices for salespeople to review for all orders 

Keep abreast of new product launches, product order history, and changes in vendors, availability, etc to ensure AE can create better, more accurate proposals 

Track industry news and prepare weekly reports to provide strategic insight for sales team

Sales Process / Client Support 

Assist AE with “alternate product” pages for proposals as needed 

Double check proposals for pricing, accuracy, typos, and consistency with policies 

Complete Order intake form once invoice has been paid

Act as point of contact for Production Team on all ongoing orders & work with clients on production updates in real time

Coordinate samples for clients 

Approve and onboarding clients to Concierge platform 

Close the loop on order with client, via tracking info, experience survey, and photos 

Communicate with clients on return to sender packages
