About Position: BOXFOX is looking for an enthusiastic, organized office manager to support our company’s day to day operations. We need someone who will keep the office running smoothly with their organizational excellence and administrative support. They will wear many hats and be an integral part of the team as they manage the physical workspace and help shape our company’s culture. The office manager will embody the BOXFOX hostess mentality, as they welcome new hires, building vendors, and all guests with kindness and generosity. 

Job Description: 

Administrative Duties 

Embody a professionalism that’s in line with BOXFOX’s core values 

Greet all guests with kindness, warmth, and enthusiasm 

Oversee daily opening and closure of warehouse, including key and alarm management, as well as perform a daily close down sweep for any fans, lights, heaters, and A/CPlan,

Schedule, and promote office events, including meetings, lunches, celebrations, and team building activities including but not limited to: Employee Birthdays, Bi-weekly team activities, Monthly Town Hall Meetings, Team lunches and meals, Team Happy Hours 

Coordinate with meeting owners to prepare for internal meetings and guests 

Share internal office messaging for warehouse updates, procedure changes, and alerts 

Build an internal conference room scheduling system 

Assist employees in various tasks as needed related to the office 

Keep in line with warehouse and office budgets for spending on snacks and beverages, office and art supplies, birthdays, and warehouse needs such as carts, standing mats, and fans. 

Onboarding Support

Provide BOXFOX swag, employee manual, and on boarding documents to new hires to guarantee their successful welcome into the BOXFOX team 

Organizing Shared Spaces 

Purchase and restock consumables and supplies to the offices, conference rooms, kitchenettes, bathrooms, and breakroom 

Ensure the general ambience of all shared spaces are always clean, organized, and functional with daily office sweeps 

Facilities & Vendor Relationships 

Oversee facilities services, maintenance activities, and tradespeople (e.g electricians, task rabbits, delivery men)

Manage relationships with the property managers, neighboring businesses, and city of Hawthorne to the benefit of the business

Act as a problem solver within our physical space, proactively identifying areas of improvement, facilitating repairs, cleaning services, and organizational hacks 


High School Required, BA/BS degree preferred

Extremely well-organized, detail-oriented 

Sound analytical and communication skills

Project management skills showing accomplishments with managing budgets and schedules

Strong problem-solving skills, maintaining an attitude of anything is possible 

Able to work within a team environment as well as independently

Proven office management experience a plus but not required 

Ability to self monitor your schedule and allow flexibility around the greater needs of the office and the team

Fluent in English
